Optimization of an E-commerce Management, Billing, and Inventory

The growth of this online business and the sale of a broad product catalog created difficulties in order management, billing, and inventory control. The team faced recurring issues due to the lack of integration between the online store systems and internal platforms, leading to inefficiencies in order processing, billing delays, and inventory errors. Additionally, the manual management of some tasks, like preparing quotes and generating and sending delivery notes, slowed down the times to send the products to their clients.

Ultra-lab needed a comprehensive solution to automate these key processes, optimizing the management of the online store, its inventory, and the supplier orders. Our primary goal is to improve user experience and communication, reduce the time and resources spent on repetitive management tasks, and eliminate errors related to the stock and orders.

Our solution

1. WooCommerce and Zoho Books Integration for Sales Management

The first step was integrating WooCommerce with the Zoho Books accounting tool. Connecting the two platforms allowed all online orders to be automatically recorded in the Zoho accounting system.

Invoices are generated and sent automatically to customers as soon as their orders are processed and shipped.

Items are synchronized in both systems to facilitate the creation of manual quotations and customized invoices for orders placed through other channels. In addition, the catalog, stock, and product prices are automatically reviewed and synchronized. So the store manager only needs to create or modify the product on the web for this change to be reflected in the other tools.

A new option to request a quotation from the web is added. With this option, customers can choose to request quotes before placing an order, and the quote is automatically generated for approval and forwarding to the client.

2. Automation of Delivery Note Dispatch

To reduce management time and prevent order delays, Zoho Books was integrated with the store’s email system. Delivery notes were sent automatically to the person in charge of shipments as soon as an order was confirmed or a new invoice or quote was approved by the client.

3. Integration of WooCommerce with the Shipping Company’s Online Tool

The next step was integrating WooCommerce’s online orders with the shipping service used.

We automate the generation of shipping labels through the shipping company API the moment an order placed through WooCommerce is paid and confirmed.

Automated update of the customer address book in the transport tool, both with new customers and with new addresses of old customers. This reduces the time to create manual shipments to those customers and avoids manual data entry errors.

As a result, the shipment preparation and handling process was streamlined, improving delivery times.

4. Integrated Inventory Management System

One of Ultra-lab’s main challenges was inventory management. The multichannel approach often caused inventory errors, as some orders were not always immediately reflected in the system. This led to counting and availability errors on the website.

To solve this problem, a new inventory management tool was implemented that allows a more accurate and convenient control for the person in charge. An internal application was developed that facilitates the automatic updating of inventory at the different platforms whenever the stock of a product needs updating.

The application integrates barcode scanning functionality, allowing the employee to update inventory in real-time when receiving new products or shipping them to customers.

Inventory is automatically updated through this app in the database, the billing tool, and the web.

In addition, a system of automatic inventory checks was implemented to detect inconsistencies and alert the employee. In this way, the employee can indicate the correct quantity and fix errors on the spot.

5. Alerts for Supplier Orders

To further improve efficiency, the preparation of supplier orders for key products was automated. When one of their top-selling products goes out of stock, the system automatically generates a restocking request to suppliers.
