Integration of a Hospitality Management System and Automated Operations

Le Relais du Vieux Sauvaire is a vacation home establishment located on the southern coast of France, proud to offer a comfortable and complete stay. It includes restaurant services and spaces for hosting private and corporate events.
They offer a wide range of services to meet all their clients’ needs, from room service to boat excursions. Their commitment is to provide the best possible service to ensure guests enjoy perfect vacations and events in a unique setting.

The hospitality establishment Le Relais du Vieux Sauvaire faced the complexity of managing a large number of manual processes related to room reservations, restaurant orders, additional services, and billing for all these activities. The lack of integration between its various reservation channels and management tools made it difficult to efficiently track services provided. These processes resulted in inefficient use of employee time, as well as delays in communications and reservation management.

Our goal was to implement a more automated hospitality management system that integrated all tools and eliminated repetitive and unnecessary manual processes. We sought to optimize processes by automating repetitive tasks, freeing employees from customer service tasks, and improving the client experience.

Our Solution

1. Integration of Reservation and Billing Systems

The first step was to integrate all reservations from different channels into a single reservation software. We connected this tool to the accounting software, eliminating the need for manual generation and reducing possible accounting errors.

  • Automatic invoice generation when the company wishes, in this case at check-in.
  • Customer creation, quotes, and payments related to stay reservations are automated.
  • Automatic reminders are sent to the reception team on a client’s check-out day, including invoices for all consumed services.

2. Optimization of Restaurant Order Management

The Goodtill POS tool was implemented to improve order taking in the restaurant and its communication with the kitchen. Employees can now take orders more efficiently and send them directly to the kitchen in real-time. Additionally, the system allows centralized management of menu dishes and ingredients, coordinating with other tools.

The integration of Goodtill POS with the accounting tool also allows invoices to be generated automatically and linked to corresponding payments, speeding up the billing process and reducing administrative errors.

3. Management of Additional Services and Table Reservations

A simple no-code app was created and integrated with a system that allows the booking of additional services (such as meals, excursions, or classes) and automatic billing for these services. This makes it easier for clients to discover and access the different services and activities available.

Additionally, the restaurant reservation system was connected to the payment gateway. This integration ensured that no service was left unpaid and that all reservations were correctly managed without duplications or errors.

4. Inventory Integration with Orders and Consumption

The final step was to integrate inventory with orders made through various software. This process allowed precise stock control based on consumption in the restaurant and additional services.

Inventory automation ensured stock levels were updated automatically, significantly reducing counting errors and preventing shortages of essential products.

As the manager of Le Relais du Vieux Sauvaire, the integration of the various software systems we had has freed us entirely from manually generating invoices, ensuring that all purchases, consumption, reservations, and services are perfectly recorded. It has also allowed us to offer more services to our customers. Knowing we’re not bound to a single technological solution gives us a lot of freedom in choosing applications that help us improve.
